For adult ESL and ESOL programs

A clear welcome, every time learners return

Whether you teach a weekly English class or host a community conversation group, keep each session’s attendance connected to the people who joined.

Prepare the session

Create a standalone event or use the dated sessions from a recurring class schedule. Give it a name learners and facilitators recognize.

Welcome new and returning learners

Select the session on each shared app device, or associate it with a web check-in link. Returning learners use the configured email or phone identifier; new learners provide the requested details.

Keep attendance together

Review the session’s recorded arrivals in the dashboard’s Check-Ins view. For reserved sessions, staff can welcome confirmed learners directly from the class roster.

Event-specific setup and recurring classes require Events to be enabled for your organization. Web check-in links also require online check-in access. Creating an account does not automatically enable these features; check-ins follow your organization’s billing access.

A weekly rhythm, with room to join

Offer recurring sessions learners can reserve individually

Set up your weekly timetable once, then share one booking link for learners to choose the sessions they plan to attend.

Choose your days and available places

Set the weekdays, local start time, duration, capacity, and term dates of up to one year. Weekly sessions keep the same local start time across daylight saving changes. A reservation covers one session, not enrollment for the entire course.

Confirm places by email

Learners enter their name and email, then confirm using a private link within 30 minutes. Capacity is checked at confirmation. Each email address can reserve one place per session; a phone-only attendance check-in does not create a reservation.

Send a reminder before class

Confirmed reservations receive a booking confirmation. Reservations confirmed before the 24-hour reminder point also receive a reminder 24 hours before class. Learners can cancel before class starts through their private link if they have not checked in, releasing their place.

Compare confirmed places with arrivals

See who reserved and who checked in. After the session ends, confirmed learners without a check-in appear as no-shows. This does not mark every learner in your program absent. Staff roster check-in opens two hours before class and closes two hours after it ends.

Learners reserve in a browser without a MemberMaker account. Organizers manage classes on the website or updated app. Reservations and live rosters require an internet connection.

From an arrival to a useful record

Review and export attendance by English session

Keep beginner conversation, workplace practice, and your community group easy to find when it is time to review attendance.

Start with your learner list

Import names and emails from CSV, with optional phone numbers. Importing adds visitors without creating attendance, sending invitations, or reserving places.

Review the session you taught

Filter recorded check-ins by event. Keep attendance from a particular English class or conversation group separate from other activities at your organization.

Take the records with you

Download dashboard attendance as CSV. Enable Include custom questions when you need the answers recorded on each check-in; missing answers remain blank.

For remote classes, a submitted check-in records attendance in the flow; it does not verify video-call participation or time spent learning. Keep existing processes for fees, language assessment, certified instructional hours, and formal reporting requirements.

ESL Class Attendance & Booking Software: questions

Can I track attendance for adult ESL and conversation groups?

Yes. Adult ESL and ESOL programs can keep attendance separate for each English class or conversation group. Use a standalone event for a session, or a recurring class schedule for weekly sessions with reservations. Learners can check in on a shared device or through a matching web check-in link, and staff can check confirmed participants in from the session roster.

Do returning participants have to start over?

The check-in flow looks up the participant using the configured email or phone identifier. Returning participants follow the information and question requirements for that flow. With Group check-in enabled, the primary visitor can then select saved linked people or add them by name without their own email or phone. Additional people use the same event and do not repeat the questions.

Can I bring an existing participant list?

Yes. Import Visitors in the web dashboard accepts a CSV with required names and emails and optional phone numbers. Existing emails are skipped. Importing adds people without creating attendance or sending invitations.

Does an event date automatically open a class?

A standalone event date does not activate it automatically. Recurring class schedules can create dated sessions with reservations. The app’s active event is still selected independently on each device; a web check-in link uses its associated event.

Can I include custom questions in an attendance export?

Yes. Enable Include custom questions when downloading the dashboard CSV. Check-in rows contain answers recorded on that visit; missing answers remain blank.

Can learners reserve a place in a weekly English class?

Yes. Choose weekdays, a local start time, duration, session capacity, and term dates of up to one year. Share one booking link so learners can choose individual sessions. Each email address can reserve one place per session. Learners confirm through a private email link within 30 minutes; capacity is checked at confirmation. Booking one session does not enroll someone for the entire course.

Does every learner need an email address?

An online reservation requires an email address and email confirmation. Attendance check-in uses the email or phone identifier configured for your check-in flow. A phone-only check-in does not create an email-confirmed reservation, and roster check-in requires a confirmed reservation for that session.

Do learners receive reminders and cancellation links?

Confirmed reservations receive a booking confirmation. When a reservation is confirmed before the 24-hour reminder point, a reminder is scheduled for 24 hours before class. Learners can use their private email link to cancel before class starts if they have not checked in, releasing the place. Bookings closer to class receive their confirmation without an immediate duplicate reminder.

Can I see which booked learners attended?

Yes. A session roster shows confirmed reservations and recorded attendance. After the session ends, confirmed participants without a check-in appear as no-shows. Staff roster check-in is available from two hours before class until two hours after it ends, subject to your organization’s check-in access. Learners who never reserved a place are not automatically treated as absent.

Does this track language progress or certify instructional hours?

MemberMaker records reservations and submitted check-ins. It does not assess language proficiency, verify participation for the whole lesson, certify instructional hours, or determine regulatory compliance. Keep your existing academic, payment, and reporting processes for those requirements.
