FROM ARRIVAL TO A RECORD OF SERVICE

The time is already there.
Give it a clear home.

Use the check-in routine your volunteers know, then review the hours behind it.

  1. 01

    Choose volunteer activities

Mark the events that count as volunteering. Enable checkout in your kiosk settings and relevant web check-in links.

    Keep ordinary attendance separate.
  2. 02

    Record arrival and departure

Completed, valid check-in and checkout intervals provide the elapsed time. Missing checkouts stay visible for correction.

    Hours from actual recorded visits.
  3. 03

Review and take it with you

Administrators approve or reject visits. Filter the report and export a volunteer summary or the underlying visit details.

A reviewed record, ready to share.

THE DETAIL BEHIND THE TOTAL

A clear distinction
between recorded
and approved.

Review each person’s service

Open a volunteer’s visits, see the original times, and add an approval or rejection with a note. Reviews apply to the full visit.

Corrections keep reviews honest

When relevant visit times change, the earlier approval becomes stale. Those hours need review again before contributing to the approved total.

Close the gaps before counting

Incomplete, invalid, and check-in-only visits are flagged. A missing departure is never replaced with an estimated time.

TIME THAT COUNTS ONCE

One volunteer.
Overlapping visits.
A cleaner total.

When two activity records overlap for the same person, report totals count that time once. Service by different volunteers still counts for each person.

FOR THE PEOPLE RUNNING THE PROGRAM

A useful report.
Without the spreadsheet rebuild.

The period you need

Choose a date range of up to 366 days. Reports follow your organization’s time zone and clip visits to the selected period.

Summary or source detail

Export totals by volunteer or individual visits. CSVs carry the report dates and time zone, with overlaps flagged in the details.

Administrator approval

Keep reviewed time distinct from recorded time. Approvals document your organization’s review, with the reviewer and a timestamp.

A FEW GOOD QUESTIONS

A clearer record starts with clear answers.

How does MemberMaker calculate volunteer hours?

Mark specific events as volunteer activities and enable checkout in your check-in settings and relevant web links. Valid, completed check-in and checkout intervals for those activities contribute hours. Ordinary class or visitor attendance stays outside the volunteer report.

What happens when someone forgets to check out?

The visit is flagged and contributes no hours until its times are completed and valid. MemberMaker does not estimate a departure time. An authorized administrator can correct a tracked visit from its detail page before reviewing the hours. Historical check-in-only visits cannot supply a duration retroactively.

Are overlapping visits counted twice?

No. Recorded totals count overlapping time once per volunteer, including overlaps across volunteer activities. Approved totals independently count the union of currently approved intervals. Detailed exports retain the original visit rows and flag overlaps.

Who can approve volunteer hours?

Organization administrators can approve or reject a visit and add a review note. Managers with report access can view records. A review covers the full visit. Changing its relevant times or identity makes the earlier review stale, so it must be reviewed again before contributing approved hours.

Can I report by date, volunteer, or activity?

Yes. Filter by a date range of up to 366 days, an activity, or an individual volunteer. Dates follow the organization’s time zone. A visit crossing a report boundary contributes only the elapsed time within that period.

Can I export our volunteer hours?

Yes. Download a per-volunteer summary or per-visit CSV, including the report dates and time zone. Summaries distinguish recorded and approved hours. The app can open the website’s signed-in CSV export flow.

Do volunteers need a separate hours-tracking app?

Volunteers can use the check-in and checkout flow you have configured on a shared kiosk or supported web check-in link. Coordinators review hours in the MemberMaker dashboard or updated app. The hours report requires a live server connection.

Are administrator-approved hours externally certified?

Approval records a review by your organization’s administrator. A school, employer, or funder decides which documentation it accepts; MemberMaker does not provide independent certification.
